Adding a Learning Experience

Instructions for RPDs, Designees, and Preceptors to add a learning experience on the “Learning Experiences” page.

Adding a learning experience allows users to define information such as objectives, activities, evaluations, preceptors, and files so the learning experience can be scheduled for residents.

This task can be completed by:

  • Users with the “RPD” role.
  • Users with the “Designee” role.
  • Users with the “Preceptor” role when “Allow Preceptors to Add and Edit Learning Experiences” is selected for the residency program and the preceptor is listed on the learning experience’s Preceptor tab.

Before You Begin: How Adding a Learning Experience Works

Learning experiences are created through a series of pages. Each page and all required fields must be completed to finish creating the learning experience. Uploading a document does not replace entering required text fields.


Instructions for Adding a Learning Experience

Step 1: Enter Learning Experience Details
  1. Go to “Access My Sites/Programs” and select the program.
  2. Select the Learning Experiences tab.
  3. Click the “Add New Learning Experience” link.
  4. Complete the required fields on the Add Learning Experience page.
    • Title
    • Educational Site (select Add New Training Site to add a new site option)
    • Status (Active or Under Review). Learning Experiences with the status, "Under Review" will not be available to schedule.
    • Type (Required, Elective or Selective)
    • General Description of the Practice Area
    • Roles of Pharmacists in the Practice Area
    • Expectations of Residents
    • Progression of the Residents over the Period of the Learning Experience (include progression timeline)
  5. Click the Save and Next button.
Step 2: Select Educational Goals and Objectives
  1. Select the CAGO Version if you have multiple Competency Areas, Goals and Objectives at your program.
  2. Use the radio buttons to Select objectives from, if you have elective, custom, or resident-specific objectives. Please make sure to save objectives after each selection.
  3. Select the TE checkbox next to each objective that will be taught and evaluated.
  4. Click the Save button.
  5. Click the Next button.

Important: At least one objective must be marked as taught and evaluated before the learning experience can be scheduled for a resident.

Step 3: Add Learning Activities
  1. Click the Add New button.
  2. Enter an Activity Description. (1,000 characters max)
  3. Select one objective associated with the activity. Only one objective can be associated with each learning activity because they are specific actions the resident will do to achieve the specific objective.
  4. Click the Save button.
  5. Repeat steps as needed to add additional activities.
  6. Click the Save and Next button.
Step 4: VERIFY Evaluations

Required evaluations are displayed and scheduled automatically when the learning experience is added to a resident’s schedule. These evaluations cannot be edited or removed. Additional standard or custom evaluations can be added as needed and are scheduled each time the learning experience is used. Evaluations are delivered 30 days before the selected due date.

  1. Select Add New.
  2. Select the Evaluation from the drop-down box. All standard and available custom evaluations will be listed.
  3. Select Who is Being Evaluated?
  4. Select Who is the Evaluator?
  5. Enter a percentage to indicate When is it Due.
    • For example:
    • 0 (%)= the beginning of the learning experience
    • 50 (%) = the middle of the learning experience
    • 100 (%) = the end of the learning experience
  6. Select whether a Co-Signature is Required? If a resident completes an evaluation, the preceptor will be assigned the cosignature task. If a preceptor completes an evaluation, the resident will be assigned the cosignature task.
  7. Click the Save.
  8. Click the Save and Next button.

Note: Some fields will be “grayed-out” if the selection is automatic (for example, the resident is automatically the person being evaluated and the evaluator for a summative self-evaluation.). A team-based summative evaluation will be scheduled for learning experiences added to a resident’s schedule with multiple preceptors selected.

Step 5: Add Preceptors

If “Allow Preceptors to Add and Edit Learning Experiences” is selected for your program, then preceptors added to this tab will be able to edit this learning experience. This tab does not affect resident schedules.

  1. Select a preceptor name from the drop‑down list.
  2. Click the Select button.
  3. Repeat steps to add additional preceptors.
  4. Click the Finish button.
Step 6: Add Files (Optional)

Files can be uploaded after the learning experience is created. They will be added for a resident when the learning experience is scheduled. Files can be viewed by anyone in the program on the Learning Experience’s Files tab. 

Important: Acceptable file types are Microsoft Word (doc, docx), Microsoft Excel (xls, xlsx), Microsoft Powerpoint (ppt, pptx), Zip files, Adobe Acrobat (pdf), Text file (txt). Maximum individual file size is 10MB.

  1. On the Learning Experience tab, Select View next to the learning experience name.
  2. Select the Edit Learning Experience button.
  3. Select the Files tab.
  4. Click the Add File button.
  5. Click the Choose File button and select a file.
  6. Click the Upload button.
  7. Click Close. Once added, you can click the row headers to sort the files and click the Deletelink to remove files.
