Managing Resident-Specific Evaluations

Instructions for RPDs, Designees, Preceptors, RAC Members, and Residents to View and Manage Resident-Specific Evaluations on the Resident’s Evaluations Tab

The Resident’s Evaluation tab allows users to view evaluation progress, review completed evaluations, manage due dates, complete co-signatures, send evaluations back for edits, and review evaluation history. Available actions depend on the user's role and permissions within PharmAcademic.


Before You Begin: Understanding Evaluation Access by Role

Role

Access

RPD/Designee

Full evaluation viewing and editing access.

Preceptors (Primary and Supporting)

Can view and edit evaluations for learning experiences in which they are scheduled with the resident.

Can view the resident's evaluations from other learning experiences but cannot view evaluations about other preceptors.

RAC Members

Can view evaluations for all residents. No editing access.

Residents

Can view their own evaluations.


Instructions for Accessing the Resident’s Evaluations Tab

  1. Go to the Residents tab.
  2. Click on the name of a resident.
  3. Select the Evaluations tab.
  4. Select a learning experience or “Evaluations Not in a Learning Experience” from the drop-down list.

Instructions for Viewing Evaluations

The evaluation grid displays evaluation details, status information, and available actions. Only active evaluations appear by default. Select Show Deleted Evaluations to include deleted evaluations.

Field

Description

Evaluation/Evaluator

Displays the evaluation name and assigned evaluator. Team-based summative evaluations display the primary preceptor with a note indicating they are the primary.

Evaluated

Lists the preceptor for ASHP Preceptor evaluations.

Due Date

Displays the date the evaluation is due.

Comp. Date

Displays the date evaluation was submitted.

Status

Displays the current evaluation status: Not Started, Started, Submitted and Cosigns Complete, Submitted and No Cosigns Needed, Awaiting Co-Signature (and who is assigned the task), or Sent Back for Edit.

 

View

Opens the evaluation for review, printing, PDF download, or co-signing when applicable.

Instructions for Managing Evaluations

Access to update evaluations is limited to the RPD/Designee and preceptors assigned to the learning experience.

Important: To reassign an evaluation to a different preceptor, go to the Schedule Tab and update the resident’s schedule to reflect the new preceptor (or primary preceptor). Evaluations (that were not submitted) will be automatically updated to reflect the change.

PRINT OR DOWNLOAD AN EVALUATION

  1. Click the View link.
  2. Click Print this Assessment to print the evaluation.
  3. Click Download as PDF to save a PDF copy.
Change the Due Date
  1. Click Edit next to the due date.
  2. Enter/select a new date.
  3. Click the Save button.
DELETE AN EVALUATION

Click Delete to delete the evaluation. 

Important: Submitted evaluations cannot be deleted. Contact Support if a submitted evaluation must be removed.

COSIGN AN EVALUATION
  1. Click the View link for the evaluation.

  2. Click the Cosign button.

Note: The Cosign button is only available to users assigned to complete the co-signature.

Send Back for Edit
  1. Click View.
  2. Select who you want to send it to (the evaluator or cosigner).
  3. Enter comments, if desired and click the Send Back button. The evaluator will receive an email notification including the comments, and the evaluation will be immediately available on the evaluator’s Home page with all previous answers saved.
VIEW SEND BACK FOR EDIT HISTORY

Use one of these methods to review the send back for edit history:

  • Click on the Send Back for Edit History link in the header or view the grid at the bottom of the evaluation.
  • Use the “Send Back for Edit History” report on the program Reports tab to view send back for edit history details for all evaluations in the program. This report is available to the RPD/Designee.
  • View the original submit date and the final submit date on the “Overall Evaluations Status” reports.
