Using Dashboards to Review Program Information
Instructions for RPDs, Designees, and ASHP Surveyors to review program information using Dashboards in PharmAcademic.
Use Dashboards to monitor program performance, identify potential issues, and access evaluation data across key areas of your residency program. PharmAcademic Dashboards are available RPDs, Designees, and ASHP Surveyors.
Program Tab
Instructions
- Select the residency program.
- Click the Dashboards button.
- Select the Program tab.
Alerts
Review alerts for:
- Residency description shorter than 100 characters
- Residents enrolled more than one month after their program start date
Survey History
- Select On-site Survey Schedule to view the schedule of past and currently scheduled surveys
- Click Annual Residency Accreditation Reports to view/print submitted reports
Learning Experiences Tab
Instructions
- Select the residency program.
- Click the Dashboards button.
- Select the Learning Experiences tab.
Alerts
Note: Click Export to Excel to download alerts.
Alerts include:
- Objectives without activities
- General Description shorter than 50 characters
- Expectations of Learners shorter than 50 characters
- Roles of Pharmacists shorter than 50 characters
- Progression of Residents shorter than 50 characters
Overall Learning Experience Data
View information about all learning experiences at your program.
- Filter by Academic Year and Learning Experience
- Click Descriptions of All Active Learning Experiences to download information found on the Overview tab for all active learning experiences
- Click Print LE Report to download a comprehensive report that includes all information added to PharmAcademic about the individual learning experience
- Click the Eval Data link to view learning experience-specific data
Learning Experience-Specific Data
View learning experience-specific data.
- View average and maximum scores per evaluation question
- Download the Learning Experience Evaluation Reponses report to view the questions, scores, and comments for all Learning Experience Evaluations for the specific Learning Experience for the selected year(s).
Preceptors Tab
Instructions
- Select the residency program.
- Click the Dashboards button.
- Select the Preceptors tab.
Summary Charts
The “Average Number of Preceptors per Enrolled Resident” chart displays the number of preceptors per resident in this program compared to the national average. The “Preceptor Breakdown” chart displays the breakdown of preceptors who are pharmacists and non-pharmacists.

Overall Preceptor Data
View information about all preceptors at your program.
- Filter by Academic Year and Preceptor
- Click the Latest APR Submission date to view or print the APR
- Click the Eval Data link to view preceptor-specific data
Preceptor-Specific Data
View preceptor-specific data.
- Download the Preceptor Evaluation Responses report to view the questions, scores, and comments for all Preceptor Evaluations about the specific preceptor for the selected year(s).
- Compare preceptor averages to program averages for each evaluation question.
Residents Tab
Instructions
- Select the residency program.
- Click the Dashboards button.
- Select the Residents tab.
Alerts
Review alerts for:
- Missing development plans
- Objectives not scheduled to be taught and evaluated
Overall Resident Data
Reports
- Download the Resident Master Schedule to view the schedule of all residents for the selected year.
- Download the Overall Evaluation Status for the Program report to view the status of all scheduled evaluations.
Residents Grid
View information about all residents.
- Filter resident data by Academic Year(s) and/or Resident(s).
- Click the name of the resident to go to the Resident Viewer.
- Click the number in the Development Plan column to go to Self-Assessment & Development Plans tab to view individual Development Plan documents.
- Click the ACHR Progress link next to a resident to view a new grid with resident-specific reports and ACHR progress.
- TE Assignment Report: Indicates which objectives are taught and evaluated (TE) for each learning experience on the resident’s schedule.
- Overall Evaluation Status: Indicates the status of all evaluations scheduled for the resident.
- ACHR History: Lists each goal and objective and the history of the ACHR status for the resident
- Goals and Objectives with Evaluation Responses: Goals and Objectives with Evaluation Responses.
- Summative Evaluation Responses: Displays the questions, scores, and comments for all Summative Evaluations about the resident.
Resident-Specific Data (ACHR Progress)
View resident-specific data.
Reports
Click the arrow next to Reports to download:
- TE Assignment Report: Indicates which objectives are taught and evaluated (TE) for each learning experience on the resident’s schedule.
- Overall Evaluation Status: Indicates the status of all evaluations scheduled for the resident.
- ACHR History: Lists each goal and objective and the history of the ACHR status for the resident
- Goals and Objectives with Evaluation Responses: Goals and Objectives with Evaluation Responses.
- Summative Evaluation Responses: Displays the questions, scores, and comments for all Summative Evaluations about the resident.
Click Export to Excel to download grid data
ACHR Progress
View details about each objective assigned to the resident. Each objective will be listed with the following information: the Competency Type (Required, Elective or Resident-Specific), the Competency Area, the number of the Objective, the Objective Text, whether it is achieved for residency (ACHR), how many times the objective was Evaluated, the Average Score, and the Most Recent Score.
Note: The resident’s scores only include summative evaluations completed by preceptors; they do not include resident self-evaluations. Scores are determined using the following summative scale: Needs Improvement = 1.00, Satisfactory Progress = 2.00, Achieved = 3.00.
Duty Hours Tab
Instructions
- Select the residency program.
- Click the Dashboards button.
- Select the Duty Hours tab.
Alerts
Review alerts for:
- Forms with reported violations
- Unsubmitted forms that are currently overdue
Reports
- Click ASHP Duty Hours Status for the Program to view the status of all Duty Hours forms delivered to residents.
- Click ASHP Duty Hours Responses for the Program to view responses from all submitted Duty Hours forms.
Delivered Duty Hours Forms
This grid lists the delivered ASHP Duty Hours forms as filtered by Academic Year, Month, and/or Resident. If there is a violation reported by the resident, a red Yes will be listed in the Violation Reported column.
Responses
The Responses grid lists each question found on the standard ASHP Duty Hours Form. It will indicate the number of violations for the two attestation questions. Click the View Details link to view details about that question.
Question Details
Under Question Details, you can read the question and view responses to it. Click the View Form link to view the submitted form. If a violation was reported, the resident was required to add an explanation in the form. You can also cosign or send back for edit the form from here.
Evaluation Tools Tab
Instructions
- Select the residency program.
- Click the Dashboards button.
- Select the Evaluation Tools tab.
- Filter resident data by selecting one or more from the drop-down list: Academic Year(s) and Evaluation(s).
Important: For ASHP Surveyors, click “Go to Evaluation Search and Reports” to download comprehensive evaluation reports.
Evaluation Grid
Review counts for:
- Delivered evaluations
- Submitted evaluations
- evaluations that were submitted within 7 Days of the due date
- evaluations that were submitted within 8- 14 Days of the due date
- evaluations that were submitted >14 Days of the due date
- evaluations that were Not Submitted
- evaluations that were sent back for edit (SBE)
Note: Required evaluations are delivered 30 days prior to their due date. As a result, the number of delivered evaluations may differ from submitted evaluations as some may be outstanding but not necessarily overdue.
Reports
- Download the Manually Deleted Evaluations report to view all evaluations that were manually deleted by a PharmAcademic user.
- Click the Go to Evaluation Search and Reports link to search and view all evaluations for the program.
