Getting Started With Chain Of Custody

Learn about how Chain of Custody works and can benefit you.

Chain of Custody was developed to accurately capture data points of a workflow set up by IDS personnel to meet the needs of a protocol and/or sponsor. Current functionality only allows workflows to be associated with a dispense but future functionality will allow for Chain of Custody to occur against other inventory transactions.

There are a few requirements to use Chain of Custody (CoC):

  • Vestigo labels: the QR barcode for CoC must print on a Vestigo label. The QR barcode can go on a dispense, bag, prescription, or CoC label
  • Scanners (capable of scanning any 2 dimensional barcode) , Smart devices (phones, tablets, hand held devices) with the ability to scan a barcode. For mobile devices, most built in cameras should be able to read a QR code. If not, please review your phones app store.
  • Secure browser to enter transactions and display the history of that workflow

 

        What does it capture?

        A Chain of Custody is a series of steps set by IDS Vestigo users which are called workflows.

        A workflow has one or more steps and at each step, specific scan types can be captured. The McCreadie Group support team will work with you to determine the steps that need to be captured and documented. The response(s) available for each step are:

        • Name
        • Scan Badge
        • Temperature
        • Temperature Maximum
        • Temperature Minimum
        • Comment

                     

                    Listed below are some examples of steps:

                    • Administer Drug
                    • Clinic Arrival
                    • Patient Dispense
                    • Pharmacy Departure
                    • Preparation Complete
                    • Removed from Refrigerator
                    • Withdraw Solution

                    Those scanning and entering data points do not need to be Vestigo users. This allows the IDS pharmacy to capture data points by personnel outside of the IDS.

                     

                    Personally Identifiable Information

                    When the QR barcode is scanned, no personally identifiable information (PII) will be displayed. The user will be launched to a secure browser page displaying:

                    • Protocol Name
                    • Prescription Number
                    • Participant Initials
                    • Steps to complete

                            When each step is selected, fields for that user to enter the data will appear.
