Editing Participant Specific Inventory
If you receive inventory without assigning it to a participant, this can be corrected from the View/Edit Inventory screen of the protocol.
Editing inventory and assigning it to a participant will edit the inventory dating back to the receipt of that line item of inventory, and appear as if the inventory was received for that participant. This will overwrite any previous participant assignments and not be correctable without a NTF.
If you are transferring inventory from general use or another participant, you will want to use the Immediate Transfer pathway.
- Ensure that the inventory line item was truly received as participant specific, and has never been dispensed to another participant before proceeding.
- Navigate to the protocol.
- Click on the Inventory Tab.
- Click on View/Edit Inventory.
- Select the drug from the drop down menu.
- Locate the item(s) you need to edit.
Additionally, you can also add a filter by lot number here as well.
If you are trying to correct already dispensed or quarantined inventory, you may need uncheck the status flag to show items with a quantity of 0
- Click on the Edit link on the right side.
If you are editing multiple items from the same lot number, you only need to click on Edit for an item in that lot number.
- On this screen, the Drug Name and Lot Number are automatically selected. From the drop down menu, select Assign inventory to Patient/Subject.
- A grid will appear of inventory you can select that you wish to update. The grid defaults to 5 visible rows of inventory.
We recommend you select the Show All from the pagination drop down menu to ensure you are selecting the correct inventory.
- Once the correct inventory has been selected, select the appropriate participant in the New Patient/Subject drop down menu.
If you do not see the participant in the drop down, that means they are not enrolled in an arm with an order build that has the drug build in use. Double check order builds and participant enrollment if you do not see the correct participant.
- You will also need to enter a reason for the edit. This reason will be visible on the DARF.
- Once completed, click on the blue Save Edit button.
