Getting Started With The Vestigo EHR Interface

The Vestigo® EHR Interface represents a significant leap forward in clinical research, offering an unparalleled level of integration between electronic medical records and research medication management.

By automating the order transmission process, Vestigo ensures that research teams receive and process medication orders with unprecedented speed and accuracy. This not only enhances patient safety but also streamlines the entire medication management lifecycle

Key Benefits

Receive Orders Quickly and Automatically in Vestigo®

  • The interface sends verified orders to Vestigo in real-time.

  • The EHR order is linked to the drugs on the Vestigo order through a unique identification code.

  • Orders enter a queue for processing by the designated research team member.

  • Checks on patient identity and confirming accuracy of the order in enrollment arm ensure Vestigo captures accurate information from the EHR order details.

  • A queue for unmatched orders ensures no orders are missed.

Increase Efficiency and Safety

  • Increase efficiency by eliminating the manual transcription process to perform accountability and dispensing in Vestigo.
  • Improve safety and dispensing time by matching the order to the protocol, patient, and drug.
  • Facilitate compliance by ensuring Vestigo dispenses match EHR dispenses, and prescriber is authorized on the study.
  • Use audit logging of the EHR message with the Vestigo message for future review.

Implementation

Implementation of the EHR interface can happen at any time, but it is recommended to have two prerequisites completed:

  1. Vestigo has been implemented at your site
  2. The EHR system has been fully implemented

While we can make exceptions to the second prerequisite, we find that often times when implementing the EHR interface and the actual EHR at the same time often leads to delays on the Vestigo EHR implementation as investigational meds are not usually prioritized to build out.

Contracting and setup

Once the contracting is complete, a Vestigo EHR implementation specialist will guide the site team through on implementing the interface. There are six phases of the implementation and it generally takes about 10-12 weeks from kickoff to go live. However, these times can vary depending on resource availability.

The six phases are:

  1. Pre-Implementation and Scoping - This is where both sides learn how to best implement the interface for the IDS pharmacy.
  2. Initial Setup and HL7 Messages Review - During this phase, we discuss the requirements of the HL7 messages and what the Vestigo team would expect to see.
  3. Connectivity and Channel builds - Once we receive sample messages, we build channels to consume those messages and test connectivity.
  4. Process for Mapping Facilities and Vestigo Orders - The Vestigo team walks the EHR and IDS teams through on the process of mapping incoming messages to unique orders and facilities in Vestigo
  5.  Site QA and Training - At this stage, we conduct testing exercises to ensure the interface is working as expected. We also establish a training session for the IDS team
  6. Production Go-Live - At a mutuallylly agreed upon date/time, both EHR and Vestigo teams enabled to the interface in production.

We also recommend having a Post Go-Live call, about a week after go live with the IDS and Vestigo teams.
