Getting Started With Vestigo Barcode Validation
Streamline Your Clinical Trials: Integrate Your Clinical Trial Management System (CTMS) with Vestigo.
Vestigo Barcode Validation ensures the right Investigational Product (IP) is dispensed every time, reinforcing patient safety and compliance while streamlining clinical research workflows. By validating barcodes before preparation or dispensing, we introduce a layer of protection that makes the dispensing process not only more efficient but also more reliable and compliant.

Benefits of Vestigo Barcode Validation
-
Guarantee Accuracy: Confirm the correct IP is chosen for dispensing, significantly improving patient safety.
-
Protocol Compliance: Facilitate adherence to protocols with detailed electronic documentation of each physical product verification.
-
Enhanced Workflow Efficiency: Streamline your product verification process for better accuracy.
-
Regulatory Adherence: Enhance compliance with comprehensive electronic records of all product verifications.
Vestigo Barcode Validation Process
- Receive and Label IP - Generate and affix a barcode label to the Investigational Product.
- Update Protocol Order in Vestigo - Specify if the Investigational Product requires barcode validation. Configure workflow settings as needed.
- Physically Pull IP - Process the prescription. Print necessary labels for dispensing.
- Perform Barcode Validation - Access the Barcode Validation feature within Vestigo. Scan the Investigational Product to verify accuracy.
Common Questions about Barcode Validation
-
Can we utilize existing barcode scanners, like what we use for our EHR?
-
Yes, any scanner can be used as long as it scans the format of barcode you select to use.
-
-
How are barcodes generated? Is it during shipment? How are the barcode labels generated? Upon receipt of product?
-
Yes, when you receive inventory, the inventory is assigned a Vestigo Inventory ID. That ID is used to create the barcode. Labels can be reprinted from the View/Edit Inventory screen, or the shipment receipt screen.
-
-
Is this meant for the pharmacist to do the barcode scan? the technician, or both?
-
To accommodate multiple workflows, any user with a role with the permission to “Barcode Validate” can perform Barcode Validation.
-
-
If a retest date or anything is changed in edit inventory (inventory updated), does a new label need to be printed or will the barcode data update?
- Edits to the inventory will not change the Inventory ID which is what is used to validate. If the inventory is transferred or sent out, a new Inventory ID will be created. A new label may need to be printed if the inventory is transferred to a new location or a new patient, but the inventory can still be validated with an original label.
-
If the barcode is not validated because the lot/bottle # at prescription entry was incorrect but the one in the validator’s physical possession should be used. Can the inventory be changed from the barcode validation step?
-
No, the user will need to perform the inventory edit on the actual prescription screen where inventory is selected.
-
- After you scan the barcode and validate the prescription is the quantity on hand of the product automatically deducted and updated in Vestigo?
- Inventory is deducted at the time of prescription entry. Barcode Validation only confirms the inventory selected on the prescription is correct.
-
Do you know if Vestigo generated barcode would scan in an EHR Dispense prep?
-
No, the barcode is based on the Vestigo Inventory ID which is not an ID in any EHR. Contact your Customer Success Manager to learn how Vestigo labels could be used to support an EHR Dispense Prep workflow.
-
-
If a tech receives in the IP and attached the bar code labels during receipt, is there a way for the checking RPH to verify they put the correct barcode label on the correct product, especially if they received several things on the same day.
-
Barcode Validation was originally designed for validation during dispense. However, this could be combined with Shipment Receipt Verification and a local workflow to ensure the labels were applied appropriately.
-
-
For many studies, standard IDS stock is used (non-sponsor supplied) but needs to be tracked for exp/lot. So we use (enter on dispense). If the order build has a 'standard stock item' to enter on dispense, can you still use the barcode feature for the IP?
-
Barcode Validation is only for “Full Tracking” Drug Builds.
-
- If inventory is received in one location and transferred to another, do we have to relabel the inventory?
- No. Vestigo will be able to identify if inventory has been transferred to another location in the protocol. When users scan the original barcode during dispensation, Vestigo will display the value isn't what it was expecting, but it will accept it as the location transfer are tied together.
Contracting and Setup
Once the contracting is complete, a Vestigo implementation specialist will guide the site team through on implementing the workflow. Our specialist will talk through various workflows and also discuss additional topics like:
- Modifying or inventory or PickStock labels to include the QR code
- Discussing the differences in barcode validation settings at the order build
- Defining which orders should utilize barcode validation
- Available reports for Barcode Validation
