Transferring Inventory Between Ordering Investigators

If you receive inventory for one ordering investigator but need to transfer it to another ordering investigator, users can use the Immediate Transfer function to complete the transfer.

Transferring inventory to another ordering investigator does not impact historical data where the inventory was received under a different ordering investigator. Transfers show two transactions on the DARF: one for the transfer out from the original ordering investigator DARF, and another for the transfer in on the new ordering investigator DARF.

It may be necessary to receive approval from all required parties prior to transferring the inventory between ordering investigators. Please check with your site SOPs prior to proceeding.

Ensure the protocol has inventory tracked by ordering investigator in Edit Protocol. If you do not see the Ordering Investigator selection when transferring inventory, the protocol is not being tracked by ordering investigator. 
  1. Navigate to the protocol.
  2. Click on the Inventory Tab.
  3. Click on Immediate Transfer.
  4. Select the drug from the drop down menu.

    Additionally, you can also add a filter by lot number here as well.

  5. Select Either Single Transfer or Bulk Transfer and follow the appropriate instructions below.

 

Single Transfer

  1. Select the Inventory from the dropdown menu
  2. Enter the Quantity
  3. Select the Location from the dropdown menu. This can be the same location, or it can be a new location.
  4. If appropriate, select a New Participant from the Patient dropdown menu.
  5. Select the new Ordering Investigator from the Ordering Investigator dropdown menu.
  6. If needed, adjust the Service Date.
  7. It is recommended to add accountability log comments about the transfer.
  8. If needed, adjust the number of Labels and Printer.
  9. Click the blue Save button.

 

Bulk Transfer

  1. Select the Inventory from the inventory grid.

    Bulk Transfer transfers the current QOH for the associated inventory line item. If you only need to transfer a smaller number, than you should use the Single Transfer.

     

  2. Select the Location from the dropdown menu. This can be the same location, or it can be a new location.
  3. If appropriate, select a New Participant from the Patient dropdown menu.
  4. Select the new Ordering Investigator from the Ordering Investigator dropdown menu.
  5. If needed, adjust the Service Date.
  6. It is recommended to add accountability log comments about the transfer.
  7. If needed, adjust the number of Labels and Printer.
  8. Click the blue Save button.
