Understanding Participant Enrollment Fees
Guidance for managing patient fees during enrollment, including scheduled versus activity-based charges and participant-specific fee scenarios in Vestigo.
When the participant is enrolled, any fees added via Edit Protocol > Billing > Patient Fees will be presented on the enrollment panel. Users can enter comments, edit the amount, and/or mark them as do not charge.
When participant fees are charged during enrollment, the Fees(X) link will indicate the number of scheduled fees that will be charged over the frequency selected. Any “Activity” (enrollment related) fees will not be included in this count as they are not scheduled.
Patient Fees
The “Fees (X)” link will only indicate the quantity of Scheduled Fees (e.g., Daily, Weekly). Activity based fees will charge per the Edit Protocol: Billing tab but will not be included in the quantity. If additional Patient fees can also be edited within this section and, to add any patient fees, use the “Fees (X)” link.
Scenario 1: Patient(s) is already enrolled, an Activity based fee (e.g., Enrollment, Switching Arms) needs to be added for all patients.
Add the fee on the Edit Protocol: Billing tab. If it’s a fee to be charged on enrollment, the fee for the patient(s) already enrolled will need to be ad hoc. That fee will be charged for any future patient enrollments.
Scenario 2: Participant(s) is already enrolled, a Scheduled fee (e.g., Daily, Weekly) needs to be added.
Add the fee on Edit Protocol: Billing tab. A scheduled fee will be charged based on the frequency selected for each participant already enrolled and for any future enrolled participants.
Scenario 3: A fee is to be charged for a single participant.
Select the “Fees(X)” link and add the participant specific fee to charge. Only Scheduled fees can be added for a participant.
