Okta and other Security Options
As indicated in an earlier email sent to all client sites, McCreadie Group will be adding an extra layer of security to several Vestigo processes. Each client site will be contacted after our 5.3.4 release to implement changes as appropriate per site.
What will be Changing?
- Users will log in to Vestigo using their email address instead of their username. Usernames will still be used in Vestigo for all transactions.
- Users will receive an account activation link in their email to set their password rather than an email with their credentials.
- Sites will be able to utilize functionality that requires users to re-authenticate their credentials with a PIN when verifying dispenses (e-signature to support 21 CFR Part 11 compliance). There will be other options available, so please speak with your account manager if your site prefers a different method of validation. The Vestigo team will work with each site to implement this functionality.
Why are these Changes Necessary?
Vestigo will begin utilizing Okta, an identity management solution, to strengthen authentication. Granting roles (authorization) will continue in Vestigo. This integration will increase security to better align with your policies and help ensure that your account and Vestigo data stays secure. For example, Okta will support several Multi-Factor Authentication (MFA) options that can serve as an e-signature to validate dispenses. And as remote, or partially remote, monitoring visits continue to be the norm, Okta will add an additional layer of security to protect access to your data.
What can I do to Prepare?
- Prior to your site’s implementation, communicate the changes to your team and encourage all users to log in. This will help the software to transition quickly with up-to-date passwords. As the time grows closer, you will be provided with resources and instructions during implementation.
- Consider enabling SSO SAML authentication for your site to streamline access. SSO SAML allows users to use their network credentials to log in to Vestigo (SSO / SAML allows a user to use network credentials to log in to Vestigo).
- Determine which method of validating dispenses will work best for your team: PIN, a notification sent to the user’s phone, or a fingerprint. We will default to requiring a PIN unless you specify a different option.
My Account Screen Updates
In connection with security updates, My Account screen is updated to provide users with a cleaner view of their account details. This section will also house set up for verification by pin or fingerprint.

Access to Edit User Account Details within Application Administration
There are times when a user’s username and/or email address needs to be modified. We have created a pathway to allow sites to update these details directly within Application Administration on the user account. The change will also be documented via email to the contact listed as the person designated to receive email notifications within Security Settings and Reports.
It is important to note that when a username is edited/updated, reports will reflect the revised username. Before changing the username, consider the ramifications on the DARF as previously printed/viewed DARFs will have old username and any DARFs printed/viewed going forward will display the new username. The audit log will reflect the username change.
If a new email is issued with a name change, then a new username can be assigned to the new email address.
Inventory Selected to Dispense Grid
When entering a prescription, the first step is the user entering the dose amount and selecting the inventory to be dispensed. Previous functionality has the user select a “Save” link to navigate the user from the inventory section to the prescription details section of the prescription. The user will now select “Next” to move to the prescription detail. The prescription will be saved upon selecting “Save” and, if turned on, entering their PIN.
Monitor Notification Account Updates
To assist with management of monitor accounts, we will inactivate any monitor accounts where the monitor has not logged in within 12 months or has not had a scheduled visit in the last 6 months. Any monitor with scheduled visit in the future will not be inactivated regardless of login activity in the last 6 to 12 months.
In the 5.3.4 release, users will be able to reactivate any inactivated monitor in one of two ways:
- If the monitor account is already added to the study, the account will be reactivated when the user scheduling a visit for that account.
- If the monitor is not on the study, and a user searches for a monitor account that has been inactivated, that account will not display. However, once the user attempts to add the account, the system will locate the inactivated account and provide a link to reactivate the account.
Additional Updates and Fixes
The following list of items have been updated since the 5.3.3 release
- Added columns on the Contacts tab distinguishing those contacts who have and do not have a user account and access to that study.
- Corrected issue where Patient Schedule fields were not editable on a refill prescription.
- Corrected issue where Dispense Only drug build information was not pulled into the prescription when entering a Refill.
- Removed issue where users were entering negative numbers when using Adjust Inventory.
- Updated User Login History Report where it was not displaying data for SAML users.
- Resolved Application Error on when selecting Edit Protocol – Billing tab.
- Corrected issue where Send Out Receives were not being received into the correct location when a receiving location is not selected.
- Removed deleted drug builds from Vestigo Verify Accountability dropdown.
- Added to allow uploading documents with file extension “.ttv” to document grids.
- Corrected issue where “Close Monitor Visit” screen was missing item numbers.
- Corrected darf issue where “Blind PSN” option was also removing the patient initials
- Corrected issue where Return Labels were not printing for a Dispense only drug
The following list of items will be updated in Vestigo with the 5.3.4 release:
- Corrected issues with adding documents after sorting the columns.
- Resolved report issue where monitors are not displaying on the Contacts Report.
- Removed merged columns on the Inventory Transaction Report (flat detailed version).
- Resolved report issue where username is not displaying on the Patient Visit Report.
