Vestigo Version 5.4 Release
Release Date: October 19, 2022
The Vestigo Version 5.4 Release has seven major components:
- Internationalization of the Date format
- Vestigo Billing Portal
- Alert for Witness of Destruction and Return to Sponsor
- Patient Return fields to enter “Used Quantity” and “Missing Quantity”
- Address Book: Remove/Replace Redesign
- Workload Templates
- Protocol Competency: The addition of Workload and Billing
Vestigo Updates Date Fields to the International Date Format
To help avoid confusion with date representation and to help comply with various date requirements, the date format in Vestigo was updated from “mm dd yyyy” to “dd MON yyyy” (04 JUL 2022). This change was applied to all screens and reports within Vestigo and Vestigo Verify, but will not be applied to billing extracts, invoices, or statement of activities (SOA). Client sites can request these to be updated.
The date field will display as “dd MON yyyy” (04 JUL 2022) but when the user clicks in the field, to modify the date, the format will present as “04 07 2022.”
Vestigo Billing Portal
Vestigo has expanded its billing functionality to include a Billing Portal to allow users access to accounts, invoices, and billing reports. Sites can grant access to the billing portal to current Vestigo users, Protocol Specific Users, as well as give billing portal only access to those on their finance team.
The portal has three tabs of information:
- Invoices: users can download, review, and save invoices and payments per account(s) over a specific date range
- Accounts: users can also download, review, and save invoices as well as download an Account Statement
- Protocols: users can view basic information about the protocols associated with billing accounts they have access to and download the “Download Charges” report
Vestigo users can still email invoices to those contacts on the billing account; however, the portal allows users to independently retrieve that information on a timelier basis. Vestigo administrators are encouraged to review billing portal access before granting access to others to ensure that all data and reports are appropriate for Billing Portal Users to view and access.
Alert: Witness of Destruction and Return to Sponsor
Vestigo has added a home screen alert for destroyed and returned to sponsor inventories requiring a witness. Within the Drug Build, users can designate a drug that will require a witness upon destruction or return to sponsor. Inventory for that drug will display in the alert when destroyed or returned to sponsor to notify users of inventory needing a witness. It is important to note, inventory will display in the alert to all users, including those who entered the destruction or return to sponsor and, therefore, cannot witness the action. For those who entered the return action, when they click on “Resolve,” the witness screen will not display returns to witness.
We have also added a field to the Drug Build called “Default Returns Unit.” This will allow sites to designate the inventory unit to be used when entering Prescription Returns. For example, if a Drug Build is built with the inventory unit “BOTL,” but returns should be entered as “TAB,” the “Default Return Unit” field can be set to “TAB” to standardize and maximize the user’s ability to enter returns correctly.
Patient Returns: New fields for Used Quantity and Missing Quantity
To capture comprehensive return information and facility compliance tracking, new fields have been added to Patient Returns. Users can now enter the Return Quantity (brought back to pharmacy), Used Quantity (based on a patient diary or self-report), as well as Missing Quantity (based on a patient diary or self-report).
When entering a patient return, the Return Quantity must have a value entered to proceed, even if it is zero.
The Return Quantity will continue to display on the DARF. Data entered for “Used Quantity” and “Missing Quantity” will display on the Return Report and the user interface in Vestigo and Vestigo Verify but will not populate to the DARF. This may be important to consider if entering return information for used vials or prepped IP if the sponsor requires return data on the DARF.
Address Book: Redesign of Remove/Replace
To make contact updates on protocols and billing accounts easy, quick, and more transparent, we have elevated the functionality and visibility on the “Remove/Replace” feature in the Address Book. It is important to use the information presented in these grids in totality to fully understand if the contact has access and what that means.
“Remove” and “Remove all” will assist the user by removing that contact from all studies or accounts, as selected. “Replace” and “Replace all” will assist the user with replacing the current contact and role with another contact selected. When replacing a contact with another, the original contact access/role details will apply to the new contact replaced.
Protocol contacts
The grid for protocol contacts will display details about the contact, assisting the user with what to expect when that contact, and role assigned, is added to a study. The important factors to look at for a contact on a study are:
- Is this contact a “Protocol Specific User” (read only user)?
- Will this contact have access to this study based on the role assigned and their user account status?
- Should this contact have access to this study?
- Will this contact have access to the billing account based on their account status and user account status?
- Should this contact have access to this billing account?
- Blinded Study: Option on study build (Edit Protocol – Main tab)
- Vestigo Access: Does the contact have a user account
- Vestigo Access (Active): Regular active user account
- Vestigo Access (Inactive): Regular inactive user account
- No Access: No user account
- Protocol-Specific Access (Active): Read only active user account
- Protocol-Specific Access (Inactive): Read only inactive user account
- Protocol Specific Access: If the contact has a Protocol Specific user account, does the assigned role give access to the contact?
- True: Yes (roles include Study Coordinator, Internal Reviewer, Study Coordinator (Returns))
- False: No, role does not grant access to that protocol
It is important to note if the contact has status “Vestigo Access (Active)” with “Protocol Specific Access: Blank.” This means the contact has a regular user account and does not need a certain role per study to have access; they have access per their user role per facility.
Billing Account Contacts
The grid for billing contacts will also provide visibility and information to assess the contact’s access. The important factors to look at for a contact on a billing account are:
- Does this contact have a Billing Portal user account?
- Receives Email: If site emails the invoices, will this contact receive the emailed invoice?
- True: Yes
- False: No
- Billing Portal Access: Does this contact have a user account with access to the Billing Portal?
- Billing Portal Access (Active): contact has billing portal access on an active user account
- Billing Portal Access (Inactive): contact has billing portal access on an inactive user account
- No Access: contact does not have billing portal access (may or may not have a user account)
*”user account” maybe a regular user account or protocol-specific user account
- Billing Portal Access for this Account: is this account visible to the contact when they log into to the billing portal (if they have a user account with portal access)?
- True: Yes, if the contact has a billing portal user account, they can view this account
- False: No, they cannot view this account.
- Improved the query function within the Drug and Inventory Search to locate ANY inventory based on the drug description entered, rather than only inventory that exactly matches the drug description entered.
- Corrected an issue where Chain of Custody was not printing on a reprint or edit prescription labels.
- Corrected an issue where the Patient Visit in Calendar was not displaying the correct quantity on hand of drug inventory.
- Resolved the Order Build Copy as New not retaining the Chain of Custody from the original Order Build being copied.
- Corrected an issue where “Correct an Expiration Date” was not updating the expiration date on previously entered prescriptions.
- Updated functionality to allow users to “Close Visit” on a Visit where a monitor has entered but not yet completed or removed an Action Item.
Workload Templates
To help sites standardize the workload categories and time values used on protocols, we have created Workload Templates. Sites can capture various user defined subcategories based on a variety of workflow activities and group them based on medical group, sponsor type or otherwise.
Workload Templates are created at the client level of Vestigo and can be used on all protocols, without regard to facility.
Addition of Workload and Billing to Protocol Competency
From the feedback we received about our Competency module, we have added functionality to the workflow to capture billing and workload when creating a competency as well as workload when completing the competency.
Users can establish standardized billing fees and workload time values to enable all users to capture the appropriate fees and time value when adding a protocol competency. Workload and fees can also be added when importing a global competency on to a protocol.

Additional Updates Since Vestigo Version 5.3.4 Release
- Updated to allow dashes, periods, and underscores, but not apostrophes, in Vestigo usernames

Help Center
Vestigo documentation and manuals have moved to the Vestigo Help Center. The help center will allow you to search all the documents for a specific topic rather than looking for the needed document. The Vestigo help center also includes videos. You will be able to submit a ticket using a form found in the Help Center. You will still be able to call support (734) 548-9007 Option #2 and email support at support@mccreadiegroup.com . This gives users three ways to contact support.
